Job Description:

ASSET Engineering is currently seeking a talented individual for the Office Administrator position at our headquarters, located in Ridgeland, Mississippi.

As a member of the ASSET team, the Office Administrator will perform office and business management support for ASSET Engineering offices both in Mississippi and for our branch offices, as needed. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. This position requires excellent organizational skills and the ability to handle sensitive information confidentially.

Responsibilities:

  • Welcomes on-site visitors, determines nature of business and announces visitors to appropriate personnel.
  • May assist in answering incoming telephone calls; determine purpose of callers and forward call to applicable personnel.
  • Answers questions about the firm and provides callers with address, directions and other information.
  • Monitor reception area, conference rooms and break area, keep orderly and prepared for use.
  • Ship, receive and distribute mail and packages.
  • Maintain electronic conference room calendars.
  • Maintain confidential and sensitive information.
  • Responsible for monthly departmental credit card logs/expense reports; distribute to teams, compile and check validity of information submitted, collect backup documents.
  • Plan, coordinate, schedule and facilitate on-site and off-site meetings including meal arrangements for large groups. This may include orientation and training, stakeholder meetings, management meetings, periodic reviews, holiday events, etc.
  • Manage office supplies, inventory, coffee, and snacks.
  • Coordinate new hire onboarding tasks.
  • Manage and maintain the firm’s licensure as well as select individual’s licensures.
  • Ability to wear multiple hats when needed supporting other departments.
  • Make travel arrangements as required and update travel calendar.
  • Coordinate with vendors for fire inspections, building maintenance, cleaning, furniture, etc.
  • Assist committees with safety programs, including ordering Safety supplies and preparation for annual safety audits and compliance.
  • Ability to lift 10lbs on a regular basis and up to 25lbs when necessary.
  • Ability to stand for long periods of time.
  • Other duties as required.

Project Support, including:

  • All aspects of document control such as preparing transmittal packages to be distributed to client which includes typing transmittal letters, managing drawing lists, and following up with reminders transmitting deliverables, logging and tracking incoming and outgoing documents, maintaining and archiving electronic files.
  • Type, edit, and proofread documents and presentations.
  • Prepare meeting minutes and action item lists.
  • Prepare and present meeting notes, presentations and tables.
  • Prepare client work packages (printing and folding)
  • Scanning and filing checklists and drawings.
  • Other duties as required.

Minimum Qualifications / Experience:

  • High school diploma or equivalent. Associates or Bachelors in Business, Accounting or equivalent field is preferred. Two or more years of administrative support experience required; experience in an engineering firm is preferred.
  • Excellent oral and written communication skills to effectively convey information to team members, management, and other engineers.
  • Demonstrated proficiency with Microsoft Office Suite (Outlook, Word, Excel)
  • Take personal responsibility for the quality and accuracy of his/her work.
  • Demonstrated attention to detail to accurately complete tasks.
  • Ability to prioritize and work in a fast-paced environment to meet all deadlines.
  • Ability to work well with others in a team environment.
  • Negative drug test results
  • Background check results satisfactory to ASSET
  • Authorization to work permanently in the US without the need for work sponsorship.

Physical Requirements:

  • This position requires minimal physical effort.
  • Must be able to endure prolonged periods sitting at a desk and working on a computer for a minimum of 8 hours a day.
  • While performing the duties of this job, the employee will primarily work indoors, with occasional outdoor exposure to year around weather conditions and noise.
  • Working extended hours, including weekends, though rare, may be required periodically.
  • May occasionally lift up to 25 pounds at a time.

Pay Range: $30,000 – $40,000
